Project Coordinator

Formwest Contractors is looking for an experience project coordinator to support their growing business.

The role will be responsible for the successful administration and coordination of the company’s commercial projects from initial tender development through to project close documentation.

THE ROLE Be a key member of the office team working on the day to day coordination and administration of all on going projects.

Support the site superintendents as requested to ensure they are set up to succeed.

Maintain constant communication with the project manager’s and complete tasks as requested.

Work directly with project team members, suppliers and contractors to define project requirements, scopes of work, RFP’s and bid submittals.

Review and management of all contracts, RFI’s, PO’s, Shop Drawings, Utility / Municipality applications, Design, inspection and follow ups in conjunction with the project manager.

Coordinate meetings and distribute meeting minutes, task lists and follow up as required.

Maintain strong relationships with subcontractors, suppliers, customers and owners to ensure needs are met in an effort to establish future business.

Respond to all inquiries promptly and professionally Research new suppliers and/or new materials and products Continuously expand and update your professional knowledge and improve your skills in order to enhance individual and team production and cohesiveness Leverage the company’s systems to properly coordinate and manage projects.

Create estimates and generate proposals for clients Develop scopes of work for tendering Bid projects to subcontractors, ensure bids are accurate and work with subtrades to make changes as required.

Collect pricing from supplier / vendors Create schedules in coordination with site superintendents and project manager Update schedules, add and assign tasks as required Generate and manage change orders Maintain subcontractor lists, contact information, WCB and insurance Organize and maintain business shared drive files and paper files as required Organizes project close-out by preparing warranty package and requirements, collecting warranties and O&M manuals and occupancy documents, creating turnover documents and archiving documentation internally WHO WE WANT TO WORK WITH Be a proactive problem solver who acts with urgency Direct communicator who takes initiative Interested in being a core member of our team and take on an increasingly important role.

Positive attitude with strong attention to detail Versatile client focused professional with impeccable customer service ability QUALIFICATIONS 3 years of experience in tenant improvements of commercial, industrial, retail and restaurant spaces.

Post secondary degree / certificate in construction management / estimating or related.

Eng / PMP designations considered assets.

Ability to effectively use Microsoft Office, Word, Excel, Acrobat and inhouse project management software.

Excellent written and verbal communication skills.

Able to work on multiple projects simultaneously.

Able to read and interpret drawings and specification packages.

Strong understanding of standard construction documents / contracts Strong analytical skills, able to maintain a high level of confidentiality and professionalism.
